Contact Link provides an easy way of importing the data currently held in your Psion Data application into Contact Edge from Total Computer Systems. Once you have done this, assuming the data has been imported correctly, you will probably not need to use Contact Link again. First, make sure that Contact Edge is installed and running correctly on your Psion. Then follow these steps to convert your data: 1 .. Make a backup copy of your Psion Data file. 2 .. You are likely to need to do some tidying-up of your Psion Data application. If you are successfully going to import your data into Contact Edge (and if the resulting data is going to be useful) you will need to ensure that your Psion Data file has the correct labels, and that all data is recorded against the correct label. For instance, if you had two records like this .... Name: John Evans Name: Jones, Paul D Address: 14 The Willows Address: 86 Crown House 23 High Street Address2: Anytown Address2: Smalltown, Hants SO45 6RQ Address3: Herts SG14 6TY Address3: ... it would be impossible for the software to associate the correct labels and data. Consequently you must spend some time checking that the Psion Data file is consistent. Remove any carriage returns from records. In particular, look out for address lines that are split over two or more lines but only have one data label. After doing this, compress the datafile using the Psion-K function. Close the Psion Data application. 3 .. Installation. Put your CONTACT LINK distribution Flash card into either one of the two Psion card drives. Ensure that you are at the 'System' screen, i.e. all the application icons are showing. To install the CONTACT LINK icon on the Psion Series 3a system screen, press Psion-I (the Psion key is in the bottom left-hand corner of the keyboard and the [I] key at the same time). You will now have an "Install application" dialogue box displayed on your screen. Using the cursor keys, select "Disk", the middle option on the left-hand side of the dialogue box. Use the cursor keys to select the appropriate drive. If you inserted the flash card into the left-hand card drive, select "A". The right-hand card drive is "B". When you have selected the correct drive, you will see "CLINK.opa" appear in the dialogue box, against File:Name. Press [Enter]. The CONTACT LINK icon will now appear on the system screen. 4 .. Run CONTACT LINK. Place the cursor over the icon and pressing [Enter]. 5 .. Select the correct Psion Data file which you wish to convert. Press [Enter]. 6 .. Define which field goes where: The main screen is arranged in two columns. The left hand screen contains the labels that CONTACT LINK has found inside your Psion Data application. In the right-hand column, you will be asked to indicate which Contact Edge field will be the target field Using the cursor key, go down the list to each field in turn. Press the [Tab] key to indicate the correct target field and press [Enter]. When you have completed the whole of the first screen press [Enter] again, when the second screen will be shown. Some notes about reference numbers. Because CONTACT EDGE is a relational database, it needs some form of unique reference to 'connect' companies and the contacts at those companies. There are two options a) Leave Contact Link to automatically generate the references during the conversion process. These will be in the range 1 - 99999 (or you can select a different starting number if you prefer.) This is probably the best option - it leaves all the work to the software. b) Enter a unique reference for each record before you convert your Psion Data records to Contact Edge.. You may want to choose this method where your records have already been given a reference (perhaps an account number) If you do this, you will need to add another field to the Psion Data application. Make sure that all references are unique. NB If your Psion Data records contain both a Company name and one or more contact names, you may want to assign the contact names temporarily to a user-defined field. This is because Contact Link only imports into the Company file. At a later stage you may then want to transfer some of the contact details into the contact file. 7.. Specifying UDF field types. If you have used any of the User-defined fields, you will be asked to indicate the relevant field type for each of them. Most of the time, you will probably just leave the field type as "Character". However, if you have a field in your Psion Data application called "Date of birth", you will probably want to define it as a "Date" field in Contact Link. Similarly, a "Salary" field would probably be defined as a numeric field. Once the process of defining the UDF field types is complete, press [Enter]. 8 .. Three options are now presented to you. C) You can create new Contact Edge files M) Allows you to merge Psion Data records with an existing Contact Edge system R ) Review field links., This option allows you to go back to the start of the process and change or review what links you have defined so far. Press [Esc] at this point if you don't want to proceed further. 9 .. Next, you will be asked to indicate where the Contact Edge datafiles are to be placed. Most of the time, you will be able to press [Enter] at the default value. A progress indicator will show you how far the conversion has got. 10 .. Finally, a message will be displayed confirming the location of the new Contact Edge files. Press [Esc] to go back to the system screen. Start up Contact Edge and check that the field have been placed in their correct places. You may have to re-run the process a couple of times to correct any wrongly-placed fields. If you do run the program again, remember to choose 'Create' on the final option, this will avoid the same records being imported several times.
